Walthamstow Trades Hall is redefining the role of Working Men’s Clubs in the 21st Century having recently reached our centenary year. Now serving a diverse East London community, we host and run a variety of events from baby groups to tea dances, new rock bands to reggae nights, comedy nights and choirs

The Trades is looking for an experienced administrator to share a vital role in our operations, ensuring all our members and guests receive an exceptional welcome and service, and ensuring our records are managed and stored appropriately.

As Administrator, you will be organised, detailed and polite.  You should have a minimum of 3 years experience of working in a similar role. 

Please note this role is a job share and covers 21 hours per week.

Job Responsibilities

Overall Job Responsibility 

The Administrator is responsible for providing day to day administrative and financial records maintenance to the Club. Please note this is a job share role. 

Duties and Responsibilities 

  • Providing general office and administrative support to the Club and its  Committee Members (including sorting the post, dealing with telephone and email enquiries, filing, maintaining the photocopier and other office equipment).

  • Managing venue bookings, in conjunction with the Committee and other interested parties.

  • Managing the Club’s petty cash and liaising with the Club Treasurer and Club Secretary as necessary.

  • Supporting the Club Manager and Committee by maintaining appropriate financial records concerning the Club’s income and expenditure.and ensuring all invoices are paid and logged.

  • Manage general membership queries and maintain an accurate and up to date membership database.

  • Undertake regular safety checks of the Club’s premises and be aware of relevant Health & Safety Legislation.

  • Comply with policies relating to health and safety, confidentiality and data protection and report any concerns to the Club Secretary.

Skills & experience

  • Confident using G-suite, in particular maintaining data sets in google docs.

  • Good written & verbal communication skills, working effectively with team & relevant stakeholders.

  • Logical approach to problem solving is required.

  • Experience of working with bookkeeping/financial software.

  • Prioritise, plan and deliver key activities without close supervision.

  • Able to work on a series of unrelated problems simultaneously.

  • To lead by example and uphold and embody our values at all times.

  • Ability to liaise with Senior level stakeholders.

  • A confident and polite phone manner.

  • Eye for detail and the ability to self-check your work when undertaking administrative tasks.
